This position reports to the Vice President of Property Operations and interacts closely with the Chief Operating Officer and the Finance Team.
Job Duties :
Training of Property Staff
Overseeing Property Operations
Hiring, Disci pline, Termination of Property Managers in conjunction with COO
On-Boarding of Direct Reports
Annual Performance Reviews of Direct Reports
Review feedback/performance reviews/recommendations on site staff from Direct r eports
Annual Creation of Personal Professional Goals
Assist Direct Reports with their Personal Professional Goals Annually
Oversee/Assist hiring, discipline, and termination of site staff under the PM as necessary
Budget Coordination – Capital Expenditure, Rent Increases, Changes to Budget from previous year
Quarterly Visits to site to observe property condition, staff, residents
Review of Monthly Financial Packages
Answer Financial Questions from Limited Partners/Investors
Answer Operational Questions from General Partners/Owners
Ensure all Property level Compliance is complete by due date
Weekly Review of Accounts Receivable
Monthly Review of Accounts Payable
Meet weekly with direct reports
Approve Purchase Orders in Yardi – daily
Review and Submit to COO, all property long term contracts ( turn, lawn, snow, e levator)
Review and Submit to COO, all property bids for capital projects
Review/Update Site Staff Job Descriptions as requested
Review/Update Policy and Procedures as requested
Review Staff Needs at properties as needed
Oversee Creation and updates to all Preventative Maintenance Plans annually
Assist Property Managers in preparing 504 Requests as needed
Assist Accounting Department with Monthly Financial Questions
Assist Accounting Department with Annual Audit requests from 3 rd party Auditors
Make corrections to resident ledgers and accounts in Yardi as needed
Correction of MAAM complaints related to physical assets
Attend all on-site Agency Inspections (REAC, MOR, File/Physical Inspections)
Review Annual Utility Allowance adjustments
Special Projects as requested
Job Qualifications: General Knowledge of affordable housing programs
Proficiency in Word, Excel, Outlook, and other Microsoft Products
General Knowledge of Compliance Requirements for affordable housing
Written and Verbal Communication Skills
Ability to maintain a high level of confidentiality
